PowerPoint Keyboard Shortcuts

It doesn’t take much to get me excited. I was in a PowerPoint training class the other day. The class was okay… I got a couple of tips and a nice list of keyboard shortcuts.

The best keyboard shortcut isn’t even specific to PowerPoint. Have you ever wanted to crop a portion of your screen and put it in your presentation? Here’s how:

Certainly, here’s a short section that describes the functionality of taking screenshots on macOS and Windows:

  • macOS: In macOS, capturing screenshots is a straightforward process with built-in tools. To take a screenshot of the entire screen, press Shift + Command + 3. This captures the full screen and saves the screenshot as a file on your desktop. If you want to capture a specific portion of the screen, press Shift + Command + 4 and then click and drag to select the area you want to capture. The screenshot will be saved as a file on your desktop as well. To capture a screenshot of a specific window, press Shift + Command + 4, followed by the Spacebar. Then, click on the window you want to capture.
  • Windows: In Windows, capturing screenshots can be done with a versatile set of keyboard shortcuts. To capture the entire screen, press PrtScn (Print Screen). This copies the screenshot to your clipboard, which you can paste into applications like PowerPoint using Ctrl + V. If you want to capture only the active window, press Alt + PrtScn. To capture a specific portion of the screen, use Snipping Tool (Windows 7) or Snip & Sketch (Windows 10 and later) to select the area you want to capture. In Windows 10 and 11, you can also use Windows + Shift + S to open the snipping tool.

Both macOS and Windows provide efficient ways to capture screenshots, making it easy to include visuals in your documents and presentations.

  • Copy: Copies the selected item(s) to the clipboard.
