RFP

RFP is the Acronym for Request For Proposal

A business document that announces a project, describes the requirements for it, and solicits responses with bids from contractors to complete it. Most large organizations and government agencies launch their projects using RFPs.

Purpose and Process

An RFP is used to initiate a reverse auction, where an organization seeks proposals from potential suppliers for a service or product. It is part of a complex sales process and involves a bidding process. Unlike invitations to tender, which award contracts based on price and quality, RFPs allow suppliers to propose original solutions aligned with the company’s needs.

  • Flexibility: Suppliers have the freedom to propose innovative services or products.
  • Complexity: Typically used for large, intricate projects requiring detailed proposals.

Related Requests

Similar requests include the request for quotation (RFQ) and the request for information (RFI). An RFI is often used to gather more information from vendors before submitting an RFP or RFQ. When an RFP is issued after negotiations with prospective contractors, the submitted tender is known as a BAFO (best and final offer).

Key Differences

  • RFQ: Focuses on obtaining price quotes for specific products or services.
  • RFI: Seeks information to help define project requirements before issuing an RFP or RFQ.
